Information collected automatically
- Usage data — pages visited, time spent on the site, browser type, operating system, and referring URL, collected via standard web server logs and analytics tools.
- Cookies — small data files stored on your device that help us understand how our website is used. You may disable cookies in your browser settings, though some site features may not function correctly as a result.
Information from third parties
- We may receive your professional contact details from partners, co-organisers, or event sponsors for the purpose of inviting you to relevant InnoTechra events. We will always identify ourselves and give you the opportunity to opt out.
3. How We Use Your Information
We process your personal data for the following purposes:
- Event management — to register, confirm, and communicate with you about events you have expressed interest in or are attending.
- Service delivery — to provide the services you have requested, including event hosting, sponsorship packages, and post-event reports.
- Communications — to send you invitations to upcoming events, industry insights, and company news where you have consented or where we have a legitimate business interest.
- Post-event follow-up — to share verified attendee contact lists with event sponsors and co-hosts strictly within the scope of the event for which you registered, in accordance with your consent at registration.
- Website improvement — to analyse how visitors use our website and improve its content and functionality.
- Legal compliance — to comply with applicable Kenyan law and any other legal obligations.
4. Legal Basis for Processing
Where applicable data protection law requires a legal basis for processing, we rely on the following:
- Consent — where you have given us explicit permission, for example by ticking the consent checkbox on our contact form or subscribing to our newsletter.
- Contract performance — where processing is necessary to deliver a service you have requested.
- Legitimate interests — where we have a genuine and proportionate business reason to process your data, such as sending event invitations to professionals whose roles are directly relevant to our events, provided this does not override your privacy rights.
- Legal obligation — where processing is required to comply with Kenyan law or regulatory requirements.
5. How We Share Your Information
We do not sell your personal data. We may share it in the following limited circumstances:
- Event sponsors and co-hosts — with your explicit consent at registration, we provide verified attendee contact information to the hosting sponsor of the specific event you attended. This is clearly disclosed at the point of registration.
- Service providers — trusted third-party vendors who assist us in operating our website, managing events, or processing payments, bound by confidentiality obligations and prohibited from using your data for their own purposes.
- Business transfers — if InnoTechra undergoes a merger, acquisition, or asset sale, your personal data may be transferred as part of that transaction. We will notify you of any such change.
- Legal requirements — where required by Kenyan law, court order, or government authority.
6. Data Retention
We retain your personal data only for as long as is necessary for the purposes described in this statement, or as required by law. In general:
- Event registration and attendee data is retained for up to three years from the date of the event.
- Marketing contact data is retained until you withdraw consent or request erasure.
- Financial and contractual records are retained for seven years as required by Kenyan tax and commercial law.
When data is no longer required, it is securely deleted or anonymised.
7. Data Security
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, alteration, or disclosure. These measures include password-protected systems, encrypted data transmission (HTTPS), and restricted staff access on a need-to-know basis. While we take all reasonable precautions, no method of internet transmission is completely secure and we cannot guarantee absolute security.
8. Your Rights
Subject to applicable Kenyan data protection law, including the Data Protection Act, 2019, you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — request correction of inaccurate or incomplete data.
- Erasure — request deletion of your personal data where we no longer have a lawful basis to retain it.
- Restriction — request that we limit how we use your data while a dispute is resolved.
- Objection — object to processing based on legitimate interests, including for direct marketing purposes.
- Withdrawal of consent — withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing prior to withdrawal.
- Portability — receive your data in a structured, machine-readable format where technically feasible.
To exercise any of these rights, please contact us at support@innotechra.com. We will respond within 30 days. You also have the right to lodge a complaint with the Office of the Data Protection Commissioner of Kenya.
